CitiPower and Powercor are Victoria’s largest electricity suppliers, delivering electricity to over 1.1 million residential households and commercial customers across Victoria.
Customer Challenge
Powercor engaged Tentech as they were facing challenges around business process, information management, and the validation and checking of design information before proceeding to build stage for projects like new substations and movements of power lines. Additionally, Powercor is also required by the Australian Government to promptly respond with pre-excavation information for “Dial Before you Dig” enquiries.
Tentech Discovery
During the discovery phase, the Tentech team of experts spent time immersing themselves in Powercor’s business, to understand existing systems and processes, gather business requirements and analyse what was working and not working.
Through this process Tentech uncovered there was no systematic approach to mandatory checks on environmental reports and QA reports, relying on staff members to identify problems across multiple information sources and flag issues that may prevent a project from commencing. It was a manual, labour intensive process with information in various systems, which came with risk for Powercor.
Tentech worked closely with the Powercor team to understand the required drawing lifecycle management process, including the controlled transitions for reviews and approvals that were required as part of the new or modification process for drawings.
Tentech identified parts of that process could be automated, such as:
Validation of environmental reports
Validation of QA reports
Identify problems in report that may prevent commencement of work
Report on project progress and any major issues
Tentech Solution
Tentech recommended to implement workflow governance rules for all design documentation and to build a system with smart automations to complete documentation checks before any building works are commenced, therefore enforcing strict compliance.
This solution for Powercor became business critical as the proposed systematic approach, reduced risk and exposure for Powercor, as currently, if a check was missed the outcome could be significant injury and/or loss of life, fines and business reputation damage.
The Tentech team quickly moved into implementation utilising the MinuteView platform, firstly integrating systems of Autodesk Vault into the existing enterprise architecture of Powercor and further integrations including SAP and Automated Utility Design. Building checklists for reports to determine if a project build could proceed.
The MinuteView platform implemented by Tentech did not slow down the design team, which was important to the customer, from a process perspective the design team could still complete their work and in the background the checks would be completed and only flag to stop a project if the appropriate checks were not completed.
The MinuteView platform includes a module called Minute Creator, which facilitates automations. Minute Creator offered the customer a variety of automations specifically designed to work with Autodesk Vault Job Processors, in this instance saving time by eliminating labour intensive checking and delivering faster, consistent and accurate information with a systematic approach.
